Job description

THE EMPLOYER IS: PLAYBOARD NI PlayBoard NI is seeking an entry-level Programme & Administration Support Assistant. Reporting to the Project Coordinator, you will support the day-to-day administration of active projects, including scheduling, client communication, filing, word-processing, and meeting minutes. You will maintain monitoring systems, respond to enquiries, and help coordinate training days and network meetings, producing high-quality materials such as workshop packs and presentations. This role offers hands-on experience in office administration, digital coordination, and project support, while providing the opportunity to develop key employability skills, including organisation, communication, teamwork, professionalism, and digital literacy. You will also participate in supervision, appraisal, and training within a busy and friendly office environment, gaining practical insight into project management and programme delivery.

Responsibilities

  • To provide confidential administrative support to Project Teams including organising appointments, handling mail, photocopying, minuting meetings, filing and word-processing.
  • Maintenance of monitoring systems (using data bases and spreadsheets) of participants and participating projects to feed in to reporting systems to funders and evaluation.
  • Maintenance of efficient filing and communications systems.
  • Dealing with enquiries and dispatching appropriate information on a timely basis in response to any requests received.
  • Co-ordination of training days and network meetings undertaken by relevant teams (production of materials for workshops and events, including formatted documents compiled in well-presented workshop packs, presentations and supporting materials.
  • Attend team meetings and produce minutes/summary of action points.
  • Help capture and process programme feedback to inform practice.
  • Take part in supervision, appraisal and training as identified through PlayBoard’s Learning and Development Processes.
  • Any other tasks which may be required as part of the post.

Skills and Qualifications

Essential Skills

  • Minimum of 12 months experience in office administration or similar role.
  • Excellent verbal and written communication skills.
  • Good time management skills.
  • Excellent attention to detail.
  • Proficient in use of Microsoft packages including Word, Outlook & Excel.
  • Ability to work as part of a team, but also independently.

Desirable Skills

  • Knowledge of the play sector.
  • Awareness of Special Educational Needs (SEN).
