THE EMPLOYER IS: CASTLE COMMUNITY TRUST We are looking for an Administrative Assistant to support the smooth day-to-day running of the office. The successful candidate will provide general administrative support to management and staff, ensuring that tasks are completed efficiently and professionally. Key responsibilities include answering telephone calls and emails, managing diaries and arranging meetings, preparing documents and reports, and maintaining accurate filing systems. You will be responsible for data entry, updating records, ordering office supplies, and liaising with clients and suppliers when required. The role may also involve assisting with basic finance duties such as processing invoices and monitoring expenses. The ideal candidate will have strong communication and organisational skills, good attention to detail, and the ability to prioritise workload effectively. Proficiency in Microsoft Office applications is essential. Previous experience in an administrative role is preferred but not always required.

Responsibilities

  • Oversee daily administrative tasks to ensure the office runs smoothly and efficiently.
  • Respond to emails, phone calls, and letters, and direct inquiries to the appropriate departments.
  • Organize, update, and securely store company files, documents, and data.
  • Coordinate calendars, book meeting rooms, and prepare necessary materials.
  • Draft letters, reports, presentations, and other business documents.
  • Provide administrative assistance to team members and executives as needed.
  • Assist with basic bookkeeping tasks such as tracking expenses and processing payments.
  • Ensure office supplies and equipment management: Monitor stock levels, order supplies, and arrange maintenance for office equipment.

  • Ensuring accuracy in documents, data entry, and record keeping.
