We are seeking a dedicated Finance and Admin Officer to join our team. Hours are negotiable up to a maximum of 22.5 hrs per week. Salary - £26,409 pro rata for agreed hours, also 8% employer pension contribution. In this role, you will be instrumental in the efficient running of the charity, by managing aspects of the finance and admin functions. This will include accurate and timely management accounting information, financial information for funding bids and returns and will include the preparation of accounts for annual audit.
Responsibilities
- To ensure that all aspects of financial management are carried out in accordance with Women’s Support Network financial procedures and are compliant with both funding and statutory requirements.
- Ensure accurate, timely and relevant financial information, including spend profiles/projections to support funding bids and returns.
- Maintain annual project budgets and cash flow forecasts, monitoring income and expenditure and provide accurate financial reports to meets the needs of the Director and Board of Trustees.
- Preparation of financial documentation for the accountant to complete year end accounts.
- Manage funding streams to meet deadlines for financial claims and monitoring returns to funders.
- Ensure accurate and timely making of payments, monitoring and recording all financial transactions and documentation.
- Reconcile bank accounts on a monthly basis.
- Ensure financial procedures are followed as well as taking an active role in their development.
- Process wages and prepare payments of salaries, HMRC and pension contributions on a monthly basis.
- Record and update any monthly sickness/carers absence/staff annual leave entitlement.
- Provide admin support for recruitment and selection when required - advertisements, scheduling interviews, applicant correspondence and staff induction.
- Administration Duties:
- General office management; correspondence, monitoring and ordering materials, goods and services. Assist with meeting scheduling and room bookings.
- Assist with collation of information for and about membership including; surveys, e-zines, newsletters and updating of Website.
Skills and Qualifications
Essential Skills
- A recognised accounting/financial qualification: (ATT, ACCA, CIMA) OR Three years proven experience in a community based financial environment or similar with strong financial admin understanding if you do not possess a relevant qualification.
- 2 years’ experience working in a similar role.
- Maintaining financial records to include recording and accounting for income and expenditure using spreadsheets and computerised systems.
- Preparing financial reports for funders, management, Board of Trustees and auditors.
- Experience in payroll processing.
- Experience of preparing and maintaining budgets for funders, applications/tenders and procurement.
- Full range of Microsoft Office suite.
- Experience of general office administration as well as duties in relation to servicing the Board of Trustees and the keeping of personnel records.
- Experience of working for a Charity including governance responsibilities.
- Ability to present financial information in an accessible manner.
- Ability to organise time affectively.
- Dealing with confidential information in accordance with GDPR.
