Job description

CALMS’s Engagement Officer will play a key role in the operation of the charity and its projects.

Responsibilities

  • Overall control of reception including managing the front desk
  • Develop and maintain up-to-date information resources, including leaflets, guides, web content, and directories
  • Collaborate with all Departments (Counselling, Complementary, Social Support and Welfare Rights) to gather insights and update materials based on evolving needs
  • Support awareness campaigns and events by providing relevant content and materials
  • Monitor trends and feedback to improve the accessibility and relevance of information
  • To assist in developing projects and activities that value the skills and contribution of our volunteers, including days recognising volunteers
  • To promote pathways to employment and training for volunteers and clients
  • To assist in training and supervising volunteers and peer mentors
  • Monitor and evaluate the impact of social support programmes, collecting feedback and reporting outcomes
  • Maintain databases and systems for tracking enquiries and resource usage
  • Attend meetings and training (which may take place out of the office) relevant to the role
  • Keep up to date with any relevant developments in legislation that may affect the organisation/role
  • Undertake all duties in accordance with CALMS’s philosophy, recognised professional guidelines and the CALMS commitment to equality of opportunity and collective responsibility
  • To assist and promote social events for victims and survivors
  • To assist and promote Personal and Professional Development programmes
  • Input data on databases, e.g. feedback forms, clients’ data and VSS database
  • Prepare and coordinate client mailing lists
  • To assist in implementing and monitoring policies and procedures
  • Oversee clients’ appointment scheduling
  • Ensure clients’ satisfaction is recorded
  • Communicate with clients regarding enquiries and complaints
  • Keep track of equipment and devices and manage inventory
  • Ensure Health and Safety checks are carried out and reported monthly
  • Schedule and carry out regular Fire drills
  • Undertake any other duties as seen relevant by the Project Manager and the Board

Skills and Qualifications

Essential Skills

  • 5 GCSEs to include English and Maths
  • IT proficiency, e.g. Microsoft Office
  • Must have 2 or more years' experience in a community development role
  • Strong working knowledge of IT systems and skilled in Microsoft Excel and database systems
  • Skills in poster/leaflet design, maintaining a website and social media accounts
  • Understand the importance of record keeping and confidentiality
  • Ability to complete reports
  • Excellent communication skills
  • An understanding of and commitment to multi-disciplinary working
  • Understanding of health and safety issues
  • Understanding of financial procedures
  • Understanding and ability to follow procurement procedures
  • Understanding of community development and volunteering
  • An understanding of and commitment to policy and procedure
  • Commitment to continuous professional development
  • Must be able to work as part of a team
  • Must be able to work independently and to your own initiative to strict deadlines
  • Ability to apply discretion in sensitive issues and maintain confidentiality at all times

Desirable Skills

  • IT related qualification and experience
  • Experience of managing a team of volunteers
  • Experience of managing a busy office
  • Experience of multicultural diversity and associated issues

Further Information

CALMS (Community Action for Locally Managing Stress) is seeking to appoint a part-time (30 hours per week) Engagement Officer. This new post will be based at 8 Crawford Square and will support CALMS’s VSS-funded programmes. Subject to funding confirmation, this post will commence in June 2026. Secondments and job share will be considered. This post is fixed term for ten months, with the potential for a second year extension subject to funding. The post will be based at 8 Crawford Square in Derry/Londonderry with occasional travel.
