Work Experience Programme - Administrator


Job description

This is a key support role within the business, working closely with management to ensure the smooth coordination of our workforce and project administration. You will be responsible for handling documentation, organising job placements, and maintaining clear communication with our operatives and clients.

Responsibilities

  • Preparing and managing PQQ (Pre-Qualification Questionnaire) submissions.
  • Organising and maintaining employee records, tickets, and certifications.
  • Ensuring all compliance documentation is up to date (e.g. Safe Pass, Manual Handling, etc.).
  • Assisting with onboarding paperwork for new operatives.
  • Contacting operatives regarding job opportunities and start dates.
  • Scheduling and confirming site inductions.
  • Liaising with site managers and clients to coordinate manpower requirements.
  • Assisting in lining up crews for upcoming projects.
  • Tracking availability of electricians, supervisors, and mechanical teams.
  • Supporting mobilisation of teams to sites across Ireland and abroad.
  • Maintaining internal systems and databases.
  • Supporting directors with day-to-day operational tasks.
  • Assisting with reporting, spreadsheets, and general office organisation.

Skills and Qualifications

Essential Skills

  • Strong organisational and time management skills.
  • Excellent communication skills (phone and email).
  • Ability to multitask and work in a fast-paced environment.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • High attention to detail and ability to manage documentation accurately.

Further Information

This work experience opportunity is expected to last for 13 weeks and will require attendance of 25 - 30 hours per week. While on Work Experience, participants will retain their entitlement to benefit. Those who are not receiving benefit are also welcome to participate. Travel and childcare costs may be reimbursed. Participants will also receive an incentive payment equivalent to £10/day to a maximum of £50/week.
