RSRT Administrator


Job description

The Right Support Right Time (RSRT) Administrator will support the day to day coordination of service delivery. They will lead on scheduling small group work sessions across Northern Ireland and the border counties, including organising venues, staff availability and booking participants into sessions. The postholder will be required to build excellent collaborative relationships with a range of internal and external stakeholders including the RSRT partner organisations. They will be required to communicate with participants to handle enquiries in a caring and supportive manner.

Responsibilities

  • Manage the booking of group sessions including scheduling and handling enquiries from participants and referrers, working closely with colleagues to ensure deliverables are being met.
  • Work alongside other Inspire staff and the partner organisations to facilitate the creation of high-quality materials, self-help guides, powerpoint presentations, online content and evaluation tools.
  • Co-ordinate venues and any catering requirements for the delivery of group sessions, ensure appropriate risk assessments are in place and manage all attendee bookings.
  • Establish and maintain shared IT systems and processes to effectively manage and report on all activity.
  • Work collaboratively with other members of the RSRT team on day-to-day issues to ensure efficient and effective service delivery.

Skills and Qualifications

Essential Skills

  • Ability to work flexibly to meet the needs of the business, including occasional travel to community venues across Northern Ireland and the border counties of the Republic of Ireland.
  • Third level qualification (or equivalent) a business-related discipline AND 18 month’s experience in an administrator, clerical, secretarial or similar role within a busy and complex working environment OR
  • 3 years’ experience in an administrator, clerical, secretarial or similar role within a busy and complex working environment.
  • Strong organisational skills, with the ability to manage and prioritise workload to ensure effective and timely outcomes.
  • Demonstrable ability to co-ordinate events or training sessions, including booking venues, preparing materials and liaising with stakeholders.
  • Demonstrable experience of maintaining accurate records and preparation of detailed reports.
  • Confident in the use of Microsoft Office packages.
  • Effective written and verbal communication skills, with the ability to engage with diverse audiences including participants, staff and partner organisations.
