Job description

We are seeking a Kilt Administration Manager to support the smooth day-to-day operations of Harris Kilt Company. We are based in Belfast and specialise in wedding kilt hire and bespoke kilt making; you will play a key role in managing administrative processes, coordinating orders, and ensuring exceptional customer service from enquiry to delivery.

Responsibilities

  • Manage the full administrative cycle for kilt and Highlandwear orders, including enquiries, bookings, measurements, fittings, and deliveries.
  • Process customer orders accurately in our systems, maintain detailed records of tartans, sizes, and custom requirements.
  • Coordinate with tailors, suppliers, and external partners to ensure timely production and delivery of kilts and accessories.
  • Handle customer communications via phone, email, and in-person - providing expert advice on kilt hire, purchase, and styling.
  • Organise fittings and appointments in the Belfast showroom.
  • Manage invoicing, payments, deposits, and outstanding accounts.
  • Handle general office administration, including filing, correspondence, and compliance with retail and data protection regulations.
  • Assist with marketing admin (e.g., updating website listings, social media scheduling support, and enquiry follow-ups).
  • Monitor and report on key metrics such as order volume, turnaround times, and customer satisfaction.

Skills and Qualifications

Essential Skills

  • Strong administrative and organisational skills with excellent attention to detail.
  • Excellent communication skills - confident dealing with customers face-to-face and over the phone.
  • Ability to work independently as well as part of a small team.
  • Professional, and customer-focused.

Desirable Skills

  • Passion for Scottish/Irish heritage, traditional dress, or the wedding industry is a strong advantage.
  • Previous experience in retail, fashion, customer service, or wedding industry is highly desirable.

Further Information

This is a temporary position with the possibility of becoming a full time position for the right candidate. Competitive salary of £24,000 per annum for 30 hours per week. Staff discount on kilts and Highlandwear. Opportunity to work in a unique, specialist business with a strong local and tourist customer base.
