Responsibilities
- Work alongside the Project & ESG Manager to coordinate active project workstreams across the Phoenix Group, ensuring objectives progress against agreed scope, timelines, and budget constraints.
- Maintain and update project plans, logs, action trackers, and progress reports across all live projects, ensuring documentation is accurate, version controlled, and accessible to relevant stakeholders at all times.
- Apply project delivery methodologies (such as Agile / Waterfall) appropriately to each workstream, supporting the consistent use of standard tools and templates across the organisation.
- Coordinate project meetings, including agenda preparation, minute taking, action tracking, and timely distribution of outputs to all attendees.
- Develop and maintain project performance dashboards, tracking tools, and management information outputs using relevant business systems, ensuring outputs are clear and fit for purpose at Management Team level.
- Support the preparation and delivery of high-quality briefing materials, reports, and presentations for senior internal and external stakeholders.
- Assist the Project & ESG Manager in the development of strategic planning outputs and business cases, and support business improvement initiatives across the Phoenix Group.
- Proactively monitor changes to legislation that are deemed relevant to Phoenix’s operations firmwide, including areas such as governance, engineering, technical, asset management, health & safety and environmental.
- Maintain a live and accurate compliance obligations register, ensuring all requirements are assigned to appropriate owners and reviewed on an agreed schedule.
- Coordinate the preparation of evidence ahead of internal audit activity, acting as a key point of contact for audit enquiries and supporting the implementation of resulting action plans.
- Coordinate the policy review cycle, maintain a central register of governance related policies and procedures, and support the development of new compliance documentation where gaps are identified.
- Assist with the review and maintenance of risk registers across the organisation, coordinating inputs from relevant leads and supporting the preparation of risk reporting for senior leadership and relevant committees.
- Support the implementation, administration, and continual maintenance of Phoenix's Governance Framework, ensuring all obligations are effectively recorded, evidenced, monitored, and reviewed on a regular basis.
- Coordinate and oversee the administration and completion tracking of the corporate governance training programme, maintaining accurate records and providing regular compliance reporting to the Project & ESG Manager.
- Utilise the full Microsoft 365 suite to a high standard, including Excel, Word, PowerPoint, SharePoint, and Teams.
- Support the development and use of Power Apps solutions to improve and automate project and compliance administration processes.
- Use AI initiatives to support production of key work, developing a progressive, forward-thinking attitude to digital implications.
- Establish, develop and maintain effective working relationships with all work colleagues, contractors and partnering agencies to ensure an integrated contribution to Phoenix Energy’s corporate objectives.
- Observe and comply with policies and procedures for Health and Safety at Work and observe and continually promote equal opportunities and customer care in compliance with organisational aims and objectives.
- Participate in learning and development activities that develop personal effectiveness and assist in improving performance in the role.
- Undertake any other duties as may reasonably be required in line with the level of responsibility of the post and in order to meet the changing needs of the organisation.

Skills and Qualifications
Essential Skills
- Educated to A Level standard or equivalent.
- A minimum of 3 years relevant professional experience within the areas of compliance and/or Project Delivery/Management.
- A minimum of 3 years’ experience in project coordination, compliance, governance, risk, regulatory affairs or a similar role.
- Experience managing documentation, records and reporting processes across multiple concurrent workstreams.
- Experience supporting internal audit, evidence gathering or compliance assurance activity.
- Strong organisational and administrative skills with the ability to manage competing priorities and meet deadlines.
- Excellent written and verbal communication skills, including the ability to produce clear and professional outputs for senior audiences.
- Confident working across the Microsoft 365 suite including Excel, Word, PowerPoint, SharePoint and Teams.
- Ability to handle and interpret data accurately and produce clear reporting outputs.
- Proactive approach to identifying and resolving issues, with a high level of attention to detail.
- Professional, collaborative and approachable, with the ability to build effective working relationships at all levels.
Desirable Skills
- A relevant project delivery qualification e.g. PRINCE2 Foundation.
- A qualification in compliance, governance, risk management or law (e.g. ICA Certificate, ICSA or equivalent).
- Experience working within utilities, energy, infrastructure or another regulated sector.
- Experience supporting compliance, governance, risk or audit activities within a regulated environment.
- Experience contributing to business improvement or change management programmes.
- Experience supporting senior leadership or committee reporting on governance and risk matters.
- Familiarity with project and asset management platforms.
- Experience using Microsoft Power Apps for process automation or workflow improvement.
- Familiarity with MI software or equivalent data visualisation tools.
- Working knowledge of legislative and regulatory frameworks applicable to a regulated UK utilities company.
