Job description

Responsible for: the development, maintaining and overseeing of administration and financial systems; procedures & controls of administration & clerical procedures for the efficient and effective operation of CRJI Newry/Armagh regarding this Department of The Communities funded project.

Responsibilities

  • The creation and management of an administrative system ensuring the effective delivery by the office of CRJI Newry/Armagh of the 'Safer Stronger Project'.
  • Collation of administrative systems such as financial records, databases and mailing lists to ensure relevant reports are forwarded to main office.
  • To act as secretary to the Project Co-ordinator, e.g notifications of meetings, taking minutes and preparation of all letters, reports and documents relevant to the project within the nine Neighbourhood Renewal Areas and the communities within.
  • To provide a monthly statutory financial report to the Co-ordinator.
  • To ensure timely and effective communication to debtors and creditors relevant to the financial statues of the project.
  • To assist the Co-ordinator on projects, liase with project volunteers and facilitators on any external partnerships and activities within the projects designated areas.
  • To carry out reception duties, answering phone calls, recording, answering and distributing emails, dealing with members of the public and liaising with relevant partners and statutory agencies.
  • To comply with all legal, statutory and financial obligations.
  • To provide the project Co-Ordinator with relevant documentation to ensure the effective operation of the project.

Skills and Qualifications

Essential Skills

  • Previous administrative experience.

Desirable Skills

  • Effective verbal communicator.
  • Proficient in I.T Skills including Microsoft Word, Excel and PowerPoint
  • Some knowledge of the workings of the Neighbourhood Renewal Areas programme.
