Job description
The Receptionist is the first point of contact for members of the public, service users, and visitors to Fermanagh House, acting as the welcoming face and voice of the organisation. The role extends beyond traditional reception duties and includes front-of-house support, administrative tasks, facilities coordination, meeting room preparation, and maintaining communal areas to ensure the smooth running of Fermanagh House.
Responsibilities
- Provide a professional, friendly, and courteous reception service
- Meet and greet visitors, directing them appropriately
- Handle telephone and in-person enquiries efficiently
- Take and relay messages accurately
- Manage meeting room bookings and maintain the room diary
- Prepare, set up, and clean meeting rooms
- Assist with hospitality arrangements for events and meetings
- Ensure communal areas (kitchen, toilets, reception, meeting rooms) are clean, tidy, and presentable
- Maintain sign-in registers in line with health & safety requirements
- Respond to client and staff requests for information
- Promote awareness of available services within Fermanagh House
- Contribute to the smooth, efficient running of Fermanagh House
- Maintain confidentiality in all aspects of the role
- Uphold the values and ethos of The Fermanagh Trust
- Willingness to undertake a range of duties including cleaning and room setup
- Undertake any other duties necessary to support organisational objectives
Skills and Qualifications
Essential Skills
- Good general education including GCSE (or equivalent) in English and Maths
- Basic IT skills (e.g., Microsoft Word, email systems)
- Experience in a reception or customer-facing role
- Experience of providing administrative support
- Experience handling telephone and face-to-face enquiries
- Understanding of high-quality customer service standards
- Basic knowledge of office procedures
- Awareness of confidentiality and data protection
- Strong communication skills
- Competent in IT and office systems
- Ability to work both independently and as part of a team
- Willingness to undertake cleaning, hospitality, and room setup duties
- Flexibility to work occasional evenings/weekends if required
Desirable Skills
- Qualification in Administration or Customer Service
- Training in Health & Safety or First Aid
- Experience with room booking systems or diary management
- Experience in a community or charity setting
- Experience supporting meetings or hospitality
- Knowledge of health & safety practices in public buildings
- Ability to manage booking systems and schedules
- Ability to maintain accurate records and statistics
- Problem-solving skills and initiative
