Job description

The Senior Administration & Support Officer will provide a high-quality, professional and proactive administrative support function across the organisation. Working closely with the Chief Executive, Operations Manager, staff, volunteers, members and external stakeholders, the postholder will contribute to the effective day-to-day operational activities of the organisation while supporting the delivery of its strategic objectives, long-term sustainability and continued growth. The role has a broad remit, the postholder will be expected to work independently, manage competing priorities effectively and maintain consistently high standards of organisation, communication, accuracy, time management and customer service.

Responsibilities

  • Work closely with the Operations Manager and wider team to support the smooth and effective day-to-day running of organisational services.
  • Respond to membership, volunteer, training and stakeholder enquiries via email, telephone, social media and website platforms, providing accurate and timely information and appropriate follow-up.
  • Maintain accurate membership, volunteer, training and stakeholder records, ensuring databases, filing systems and reporting information are regularly updated.
  • Support the development and promotion of stakeholder engagement initiatives, including the development and ongoing promotion of a user forum.
  • Identify opportunities to improve administrative processes, systems and communications and contribute to the ongoing development and efficiency of the organisation.
  • Coordinate promotional activity for the organisation and its services.

Skills and Qualifications

Essential Skills

  • Minimum 3 years’ relevant administration experience within the last 5 years, gained in the private, community or voluntary sector.
  • Strong IT skills, with practical experience using Microsoft 365 applications and CRM systems.
  • Excellent organisational and time-management skills, with the ability to manage competing priorities and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to build positive relationships with members, volunteers, colleagues and external stakeholders.
  • Full valid driving licence and access to a car for travel to/from work, meetings and organisational events.

Desirable Skills

  • Third-level qualification in Business Administration, Business Development or a related subject, together with at least 2 years’ relevant experience across administration, finance, marketing and project management.
  • Experience within the commercial or community transport sector.
  • Experience of improving processes, systems or ways of working and supporting organisational development.
  • Knowledge of governance and compliance within a small organisation.
