Job description

The Referrals & Intake Coordinator is the first point of contact for individuals accessing Foyle Women's Aid services. The post-holder is responsible for coordinating, recording and monitoring referrals across residential, community support and court support services, ensuring clients receive timely and appropriate support.

Responsibilities

  • Act as the primary point of contact for all incoming referrals and service enquiries.
  • Receive, process, record and coordinate referrals for residential, community support and court support services.
  • Maintain an effective referral tracking system, ensuring accurate allocation of cases to Support Workers.
  • Monitor referral activity, waiting lists and client waiting times, escalating concerns where appropriate.
  • Identify and report any potential conflicts of interest.
  • Provide information and guidance to individuals making selfreferrals or seeking information about FWA services.
  • Work closely with the Senior Support Services Manager to ensure effective communication and service oversight.
  • Maintain records relating to admissions, departures and occupancy within residential services.
  • Produce regular reports and statistics.
  • Support the delivery of a high-quality, client-centred service.
  • Contribute to the continuous improvement of referral, monitoring and reporting systems.
  • Manage and maintain the OASIS database, including system upgrades, issue reporting, file audits, reporting changes, and file retention/removal in liaison with the Senior Support Services Manager.

Skills and Qualifications

Essential Skills

  • Possess a third-level qualification.
  • Experience of working with vulnerable people.
  • Minimum of 3 years’ strong administrative experience.
  • Communication, interpersonal, verbal and written skills.
  • Awareness of vulnerable families and a good understanding of the issues they encounter.
  • Previous use of Microsoft Office.
  • Work flexibly as part of a team.
  • Experience dealing with people in crisis.

Desirable Skills

  • Possess a third-level degree in a related relevant discipline.
  • Experience of working within domestic violence services.
  • Experience of collating statistical information and reports.
  • Knowledge of current legislation and services available when working with vulnerable people or domestic violence.
  • Experience of using triage systems.
