Job description
The Administrative Assistant will provide high-quality administrative, clerical, and logistical support to the Project Co-ordinator in the delivery of all funded projects. This role is key to ensuring the smooth day-to-day operation of the projects and adherence to funder requirements, including financial and compliance reporting, record-keeping, and stakeholder liaison.
Responsibilities
- Provide administrative support to the Project Co-ordinator and wider project team.
- Maintain accurate records of project activities, correspondence, and documentation.
- Assist in the preparation of project progress reports, claims, and evaluations. Produce a weekly /monthly bulletin of activities in the centre.
- Maintain financial records in line with funder and organisational guidelines. Assist with processing invoices, expense claims, procurement documentation, and timesheets.
- Act as a point of contact for project participants, partners, and funders as required. Assist in the promotion of project activities, events, and outcomes (e.g., through newsletters, social media, websites).
- Support the organisation and delivery of events, workshops, and community engagement activities.
- Assist in the collection input and collation of monitoring data, including participant forms and feedback.
- Help ensure all documentation is GDPR compliant and stored securely.
- Support the Project Co-ordinator in tracking project outputs, outcomes, and indicators.
- General Office Support. Maintain project filing systems, both electronic and paper-based.
- Provide general administrative support including photocopying, scanning, and ordering supplies.
- Contribute to a positive and collaborative team environment.
Skills and Qualifications
Essential Skills
- A business-related degree or 2 year’s experience as an administrative assistant or similar role.
- MS Excel skills.
- Social Media Skills.
- Organisational and time management skills.
- Attention to detail.
