Job description
The Finance Administrator will provide effective day-to-day financial administration and support to Derg Valley Care, ensuring that financial records are accurate, up to date and maintained in accordance with Derg Valley Care’s financial procedures. The postholder will work closely with the Finance Officer, Chief Executive Officer Compliance officer and external accountant to support the effective management of the organisation's finances, including income and expenditure, payments, reconciliations, payroll information, budgets and project funding.
Responsibilities
- The preparation of budgets and financial reports.
- Provision of information to support monthly and quarterly budget monitoring.
- Preparation of basic financial reports and schedules as requested.
- Provision of support to the CEO and Finance Officer in monitoring expenditure against budgets.
- Liaison with Accountant regarding preparation of financial accounts and reports.
- Identification of unusual or unexpected expenditure and bring this to the attention of the appropriate manager.
- Managing the reception area, including welcoming customers and guests.
- Managing correspondence, including telephone calls, emails, letters and deliveries.
- Managing the main centre diary and responsibility for the organisation of room set up, resources, attendance lists and evaluation forms.
- Organising meetings, scheduling appointments and overseeing catering for DVC events.
- Updating records and databases for personnel, financial and service user information.
- Ordering and stock control of office supplies, including stationery.
- Manage the booking of equipment including multimedia equipment.
- Provide support for evening programmes as and when required.
- Provide administrative support to the CEO.
- Work cooperatively with colleagues across Derg Valley Care.
- Provide a professional and helpful service to staff, suppliers, funders and other stakeholders.
- Maintain confidentiality at all times.
- Participate in relevant training and professional development.
- Support the organisation's commitment to equality, inclusion and safeguarding.
- Comply with Derg Valley Care's policies and procedures.
- Undertake other reasonable duties appropriate to the role.
Skills and Qualifications
Essential Skills
- A business related degree or 2 year’s experience as a Coordinator, Manager or Finance Officer. The previous role must include financial responsibilities.
- Working knowledge of Microsoft Office, particularly Excel.
- Attention to detail and accuracy.
- Organising workloads and meeting deadlines.
- Maintaining confidentiality.
- Communication and interpersonal skills.
- Working independently and as part of a team.
- Knowledge of administrative and book keeping procedures
- Social Media skills
