Accounts Assistant/Book Keeper

Job description

A well-established community organisation based in Derry has an opportunity for an experienced Accounts Administrator Book Keeper who is specifically looking for part-time employment to fit around personal or family commitments. Offering 20 hours per week, the working hours are flexible and can be arranged across mornings or afternoons to suit the successful candidate. This is an office based position and would suit someone who enjoys working in a varied accounts role within a community focused organisation. Importantly, this position is specifically suited to someone who genuinely wants part-time hours on a long-term basis. It is not intended as a temporary stopgap for someone seeking full-time employment. Working closely with the Senior Management Team and wider staff, you will take responsibility for maintaining accurate financial records, processing accounts transactions, assisting with monthly payroll and providing general financial administration support.

  • Process purchase invoices onto Sage, ensuring all invoices are checked, authorised and supported by the relevant paperwork.
  • Arrange and process supplier payments in line with agreed payment terms.
  • Raise, issue and monitor sales invoices, following up outstanding payments where necessary.

  • Maintain accurate and up-to-date financial records to support management reporting. Maintain organised electronic and paper filing systems for financial documentation.
  • Provide general bookkeeping and accounts administration support to the management team.
  • Maintain payroll records and employee information using payroll software. Assist with the preparation and processing of monthly payroll.
  • Ensure payroll calculations, deductions and payments comply with current legislation. Process new employee starters, leavers and changes to employee records.
  • Maintain records relating to staff absences and other payroll adjustments. Respond to payroll-related queries from management and relevant external agencies, including HMRC.
  • Ensure payroll information and payments are processed accurately and within agreed deadlines.
  • Provide general financial and administrative support to the organisation. Assist colleagues with finance-related queries and direct enquiries appropriately.
  • Deal professionally with enquiries from members of the public relating to the organisation's services. Work closely with the Senior Management Team and colleagues to ensure the smooth running of financial administration.
